Terms and Conditions
1. Introduction
Welcome to Immersiv Expeditions. By signing up for our trips, you agree to adhere to the following Terms and Conditions, which are designed to ensure a clear understanding of the responsibilities and liabilities between Immersiv Expeditions and the participants. Please read them carefully.
2. Booking and Deposits
2.1 All bookings require a non-refundable, non-transferable deposit to secure a spot on the expedition. This deposit is mandatory and must be paid at the time of booking.
For trips priced under $5000, a fixed deposit of $1500 is required at the time of booking.
For trips between $5000 and $7500, a fixed deposit of $2000 is required at the time of booking.
For trips over $7500, a 35% deposit is required at the time of booking.
2.2 The remaining balance for the trip must be paid in full between 150 and 120 days before the scheduled departure date. An invoice will be sent to your email address on file for secure credit card payments 150 days before departure with a payment window of 30 days (Visa and Mastercard only). If the balance is not paid by this deadline, Immersiv Expeditions reserves the right to cancel your booking without a refund of the deposit.
2.3 Prices are based on double occupancy. Single supplement is available upon request on a first-come, first-served basis, as are other accommodation upgrades. These are not guaranteed until paid for in full and confirmed in writing from our team.
3. Payment Terms
3.1 Payments can be made via our online payment portal, credit card, or other payment methods as specified during the booking process.
3.2 All payments must be made in the currency specified during booking, and any bank or transfer fees are the responsibility of the participant.
4. Cancellations and Refunds
4.1 All cancellation requests must be made in writing and submitted to Immersiv Expeditions via email or our website’s contact form.
4.2 Cancellation Policy:
More than 150 days before departure: Participants may cancel without being liable for the remaining balance. The deposit remains non-refundable and non-transferable.
121-150 days before departure: Participants will receive a travel credit for 100% of the balance (excluding the deposit), valid for one year from the date of cancellation.
91-120 days before departure: Participants will receive a travel credit for 50% of the balance (excluding the deposit), valid for one year from the date of cancellation.
90 days or less before departure: No refunds or credits will be issued.
4.3 Immersiv Expeditions reserves the right to waive or adjust the cancellation policy on a case-by-case basis at its sole discretion.
5. Acts of God and Natural Disasters
5.1 Immersiv Expeditions is not liable for any cancellations, changes, or delays due to acts of God, natural disasters, political instability, or other events beyond our control.
5.2 In the event of such occurrences, Immersiv Expeditions will make every reasonable effort to reschedule the trip or offer alternative arrangements. However, no refunds will be provided for cancellations due to these events.
5.3 If we are unable to deliver the amount of sea days due to poor weather conditions, we will provide an alternative activity for that day. Likewise, if we are forced to change an itinerary due to weather or any circumstance beyond our control, we will do our absolute best to provide an alternative plan.
6. Travel Insurance
6.1 DAN insurance or equivalent travel/medical insurance is mandatory. Participants should bring copies of their insurance with them.
6.2 We highly recommend that all participants purchase comprehensive travel insurance with full coverage of expenses to cover any unforeseen circumstances, including but not limited to cancellations, medical emergencies, and travel delays. It is solely your responsibility to understand the requirements and fine print of the policy you choose and we have no control over it.
7. Health and Safety
7.1 Participants are responsible for ensuring they are in suitable health to participate in the trip and must disclose any pre-existing medical conditions.
7.2 Immersiv Expeditions reserves the right to refuse participation to anyone deemed unfit for the trip.
8. Liability
8.1 Immersiv Expeditions is not responsible for any loss, injury, or damage to persons or property, including consequential losses, arising directly or indirectly from any aspect of your participation in the trip.
8.2 Participants acknowledge the inherent risks involved in travel and agree to participate at their own risk.
8.3 Before any payment is collected, applicants must agree to our Waiver of Liability and Hold Harmless Agreement, which outlines the specific terms and conditions under which they participate. Failure to agree to the terms of this agreement will result in automatic disqualification from participation.
9. Minimum Participation
9.1 Each trip requires a minimum number of participants to run. In the rare occasion this number is not met, we will return all fees paid to us, including deposits.
10. Changes to Terms and Conditions
10.1 Immersiv Expeditions reserves the right to amend these Terms and Conditions at any time. Participants will be notified of any changes, and continued participation in the trip constitutes acceptance of the new terms.
11. Governing Law
11.1 These Terms and Conditions are governed by the laws of the jurisdiction in which Immersiv Expeditions is registered. Any disputes will be resolved in accordance with these laws.
